001 The Summary

The documentation tools software teams rely on are either too simple, too expensive, or too opaque about where your data actually lives. Teams hit a wall: paying for a platform they can’t control, locked into data policies that don’t fit how they work, writing in tools that feel like they were built for any team except theirs. OrbitHQ is a Notion-class collaborative document editor engineered from scratch: real-time co-editing, slash commands, inline comments, page history, Shiki-powered code blocks, and an editorial interface that gets out of the way and lets the content lead.

002 The Client

OrbitHQ is a Jetpack Labs product built to prove that a Notion-quality editing experience can be engineered from scratch. The technical bar is high: real-time collaborative editing over Yjs CRDT, WebSocket synchronization via Laravel Reverb, a four-tier RBAC permission model with per-page overrides, and an editorial design system benchmarked against the best tools in the category. Full platform ownership, no vendor lock-in.

003 The Challenge

Notion locks data in proprietary formats. Confluence feels like it was designed by committee. Internal wikis go stale because they’re painful to update. Teams need a tool that’s actually enjoyable to write in: one that handles multiple people editing simultaneously without turning the experience into a conflict resolution exercise.

Key challenges included:

• Building a co-editing experience that feels instant, even under concurrent edits from multiple users
• Designing a permission model flexible enough to lock individual pages without disrupting workspace-wide access
• Creating an interface that genuinely encourages writing: not just tolerates it
• Keeping the notification and inbox system useful without creating noise

004 The Approach

The editorial interface was designed around the content, not the chrome. Source Serif 4 for all user-generated text. A 720px content column that keeps line lengths readable at every screen size. A collapsible sidebar for navigation and a contextual TOC rail that tracks position as you scroll. The interface recedes: buttons appear when needed, disappear when not.

Slash commands turn the editor into a power tool. Type / anywhere and a command menu surfaces: insert a code block, a callout, a task list, a heading, an image. No toolbar hunting. The command bar (⌘K) extends this globally: navigate between pages, search content, perform workspace actions without leaving the keyboard.

Per-page permissions live alongside workspace RBAC, so a team can lock a sensitive page to specific members without creating a separate workspace or workaround.

005 The Solution

OrbitHQ ships as a full collaborative workspace across three layers:

Editing Experience

• Slash command menu for instant block insertion: headings, callouts, code blocks, task lists, dividers, images
• Shiki-powered syntax highlighting for code blocks across every major language
• ⌘K command bar for global navigation, search, and workspace actions without leaving the keyboard
• Auto-generating table of contents that tracks scroll position in the right rail
• Drag-and-drop page reordering: navigation structure stays as fluid as the content itself

Real-Time Collaboration

• Real-time co-editing with live cursor presence: see exactly where teammates are working
• Nested inline comment threads anchored to specific text selections, with replies and a slide-in comment panel
• Page history panel showing every revision, with the ability to compare and restore
• Workspace inbox for mentions, comment replies, and page activity notifications

Permissions & Workspace Control

• Per-page permission overrides with granular scoping: lock individual pages to specific roles or members
• Page visibility controls: hide pages from navigation independently of permission settings
• Four-tier workspace RBAC (owner, admin, user, guest) enforced at the API level
• Workspace settings: member management, invitations, and notification preferences
• Workspace switcher for teams operating across multiple organizations
